Ethical use of AI
Version 1.0 · Effective 6 November 2026
Permitted learning assistance
AI may help explain concepts, generate fictional practice examples, suggest questions to investigate or improve the clarity of your own writing outside restricted activities. Check important claims against suitable authoritative references and the correct methodology edition.
Do not represent generated text, references, calculations or training examples as independently verified evidence. Identify assumptions and distinguish them from confirmed information and professional interpretation.
Restricted activities and confidential information
Follow the rules displayed for each contest or assessment. Do not use outside AI assistance where it is prohibited or would misrepresent independent performance. Do not ask an AI service to solve a live restricted item or share unreleased question content.
Do not provide AI tools with confidential employer/client material, personal data, proprietary FMEA files, drawings, source code, security logs or safety work products without appropriate authority and an approved processing arrangement.
High-consequence decisions
AI output must not become the sole basis for production release, audit closure, safety or cybersecurity assurance, supplier approval or employment decisions. These decisions require appropriate authority, competence and evidence.
Check for inaccurate citations, fabricated facts, bias, omission and inappropriate generalisation. A fluent answer is not proof that a standard has been satisfied or that a person is competent.
Vexido content and evaluation
AI may assist preparation of original learning content. Publication must not be described as publisher endorsement or independent validation without evidence. Answer keys, references and rubrics need a defensible basis.
Do not assume all written responses are automatically evaluated. Current written work can remain pending review. Before any external AI evaluation is introduced, users should be told what data is processed, the role of the output, material limitations and the route to challenge an outcome. A score must not be labelled human-reviewed when it is not.
Accountability and challenge
Contributors remain responsible for their submissions, and Vexido remains responsible for the platform decisions it makes. Report a suspected generated error, biased evaluation or inappropriate disclosure with the topic and attempt reference. Seek a meaningful review of disputed outcomes rather than treating an automated response as final authority.
