Plan the transition before rewriting the documents.

Vexido editorial · Published 11 October 2026 · Practical perspective

Start with your existing system

A transition project starts with an organisation that already has processes, responsibilities and working arrangements. Begin by understanding those arrangements. Rewriting every document immediately can hide what works and create unnecessary implementation effort.

Create a useful inventory

List the documents, owners, process locations and related evidence. Record the current edition used by the organisation and the intended target edition. Identify obsolete copies, unclear ownership and missing source information without assuming that each issue is a standards gap.

Separate preparation from assessment

A revision announcement can be a useful prompt to plan resources. It is not a substitute for confirming the published edition, applicable changes and relevant certification arrangements. Use an expert-approved framework before drawing conclusions about conformity.

Turn changes into owned actions

For each proposed amendment, record why it is needed, the affected process, the responsible owner and how implementation will be demonstrated. A changed document may require communication, training, revised controls or new evidence. Those actions need their own follow-up.

Keep uncertainty visible

When the available evidence is incomplete, record the clarification needed. Do not turn an assumption into a definitive finding. Expert review should challenge both the conclusion and the evidence supporting it.

Your next step

Prepare a short inventory and identify the process owners who can explain current practice. This creates a stronger starting point for a scoped transition discussion than a large collection of documents with no context.
