Build your first system around the business.

Vexido editorial · Published 11 October 2026 · Practical perspective

Understand what the organisation does

Before drafting procedures, describe the products, services, sites and principal processes. Identify who receives each process output and who is responsible for delivering it. A useful system should be recognisable to the people who operate the business.

Map responsibilities and interactions

Use a simple process map to discuss inputs, outputs, handovers and decision points. Ask where responsibilities are unclear and where an issue can move between teams without an owner. This discussion helps make the proposed system scope concrete.

Build on existing practices

An organisation implementing a formal system for the first time may already have effective controls. Review current practices and evidence before recommending replacements. Retain arrangements that work and identify where consistency, ownership or traceability needs improvement.

Choose proportionate documents

Documents should help people perform, control or demonstrate important activities. Their format can vary with organisational needs and the approved assessment framework. Do not begin with an automatic assumption that every clause needs a separate procedure.

Plan implementation as work

Assign actions, owners and realistic due dates. Include the communication, training and operational changes needed to put arrangements into practice. Keep draft preparation, approval, implementation and evidence review as separate milestones.

Your next step

Prepare a business overview and an initial process map. Use them to agree the project scope, expert support and implementation responsibilities before accepting a documentation package.
