Scope and current boundary
The public site is introductory. Customer registration, uploads and live AI processing are not active. This framework defines the arrangements to establish before those features launch. Client documents must not be collected through the browser planner or ordinary email as a substitute for an approved upload channel.
Purpose and minimum information
For a future engagement, document the assessment purpose, system scope, authorised users and information needed. Collect only relevant material. Avoid identity documents, credentials, health information, employee case files and unrelated personal information. Use redacted or synthetic information where possible.
Permissions and confidentiality
Confirm the customer’s authority to provide each document and its permitted uses. Record confidentiality conditions and restrictions. Classify information as public, internal, confidential or restricted. Customer content must not be reused for marketing, unrelated examples or another customer’s assessment without specific permission.
Handling requirements
Use approved services and authorised accounts. Apply least-privilege access, protected transfer and storage, customer separation and an audit trail. Staff and reviewers must receive confidentiality instructions before access. Do not copy documents to personal accounts, unmanaged devices or unapproved AI services.
Lifecycle
Record the source, version, owner, purpose and authorised recipients of material. Distinguish drafts from approved and implemented arrangements. Link findings to actual evidence and keep missing evidence visible. At closure, apply the agreed retention and deletion schedule and document exceptions.
Expert human verification.
Human verification by a suitably qualified expert is an integral part of every Vexido management system implementation or transition package. Proposed findings and draft documents must be verified before release as expert-reviewed deliverables.
The engagement scope will identify the reviewer’s competence, review stages, deliverables and responsibilities. Expert review does not guarantee compliance or certification and does not replace the certification body’s decision.
The free browser-only project planner is a planning tool, not a reviewed service package. Its output has not undergone expert verification.
