Current status
The current public website does not call an AI API, assess real documents or send planner entries to an AI service. AI-assisted workflows are a future service direction. AI features must not be activated until the following controls have been reviewed.
Authorised inputs
Confirm the customer’s authority, the processing purpose, relevant privacy grounds and document permissions. Minimise or redact personal data. Do not upload copyrighted standards without the necessary permission. Do not submit credentials, restricted information or client content to unapproved tools.
Provider and backend controls
Select the AI provider and model deliberately. Review contracts, data-use terms, retention, training use, processing regions, security and available deletion controls. Record the verified settings; do not assume zero retention or no training. Keep API keys server-side and apply tenant-scoped authorisation, file validation and limits.
Human review and evidence
AI output is a proposed draft or analysis, not an expert decision. Link conclusions to provided evidence, document uncertainty and allow insufficient evidence. Expert reviewers must check accuracy, source traceability, relevance and hallucinations. Never fabricate training records, audit results or completed evidence. AI must not determine certification or make unsupported high-impact decisions about people.
Change control
Record the model, approved framework, input version and reviewer decision as appropriate. Reassess changes to providers, models or processing purposes. Clearly inform customers of the actual AI role before using their documents.
Expert human verification.
Human verification by a suitably qualified expert is an integral part of every Vexido management system implementation or transition package. Proposed findings and draft documents must be verified before release as expert-reviewed deliverables.
The engagement scope will identify the reviewer’s competence, review stages, deliverables and responsibilities. Expert review does not guarantee compliance or certification and does not replace the certification body’s decision.
The free browser-only project planner is a planning tool, not a reviewed service package. Its output has not undergone expert verification.
